REVLINK PRIVACY POLICY

This Privacy Policy explains how Elotech Software Development ("Elotech", "we", "us" or "our") handles your personal information when you use the RevLink mobile application ("RevLink" or the "App") and related services.
We are committed to protecting your privacy in line with the Protection of Personal Information Act 4 of 2013 ("POPIA").
By using the App you agree to the handling of your personal information as described in this policy. If you do not agree, please do not use the App.
1. Who is responsible
Elotech Software Development, of 12 Dagbreek Street, Glen Marais, is the responsible party for the personal information described in this policy. Our Information Officer can be contacted at support@elotech.co.za.
2. Information we collect
To provide and support the App, we may collect:
- Account and login details used to authenticate you and secure your access.
- Business and accounting data that you enter into, or synchronise through, the App (such as quotes, orders, jobs and customer information).
- Contact details, including your email address and mobile number, where you subscribe or where these are needed to provide the service.
- A device identifier and basic technical and usage information that help us run, secure and support the App.
- Location information, but only while you have started a tracking day in the App. This is described in detail in section 4 below.
We do not collect or store your payment card details. Card payments are processed by Netcash (see section 6).
3. How we use your information and our lawful basis
We use your personal information to:
- provide, maintain and support the App;
- authenticate you and keep your access secure;
- synchronise your data with your organisation's systems;
- record your working day where you use the tracking feature;
- process subscription payments;
- help prevent fraud and misuse; and
- comply with our legal obligations.
Our lawful bases for processing include performing our agreement with you, your consent, and our legitimate interests in operating and securing the service.
4. Location information
RevLink includes an optional day-tracking feature that uses your device's location. This section explains what we collect, why, and how you stay in control of it.
Why we use your location?
The location feature exists to help field representatives record their working day for business purposes. When tracking is active, the App uses your device's location to log the key points of your day — where the day started, the stops you make during the day, when you leave a stop, and where the day ended — so that this activity can be recorded against your organisation's records. We do not use your location for advertising, and we do not sell it.
Location tracking is not always on — you start and stop it
The App does not track your location continuously or in the background by default. Location tracking only runs while you have actively started a tracking day in the App, and it stops as soon as you end the day.
You are always the one who turns it on and off. If you never start a tracking day, the App does not collect your location.
Background use while a day is active
So that your day can be recorded accurately even when your phone is locked or you are using other apps, location tracking continues to run in the background for the duration of an active tracking day.
While this is happening, your device shows a visible indicator (a persistent notification on Android, and the location indicator on iOS) so it is always clear that tracking is in progress.
Tracking ends — and background location use stops — the moment you end the day.
What we collect
While a tracking day is active, we collect location coordinates and the time at meaningful points in your day (the start of the day, arrivals at stops, departures, and the end of the day), and we may convert a coordinate into an approximate street address to make your record easier to read. We do not record a continuous trail of every position.
Your control and choices
You control location tracking by starting and ending a tracking day in the App. You may also decline or revoke the location permission at any time through your device settings; if you do, the day-tracking feature will not be able to record your location.
5. How we share your information
We share personal information only as needed to run the service: with the providers that host and operate the App and its connectivity; with Netcash, where you make a payment; and with your organisation, where the App forms part of its business records.
We may also disclose information to authorities or advisers where required by law or to protect our rights.
We do not sell your personal information.
6. Payment information and Netcash
Subscription payments are processed by Netcash through its Pay Now service.
Your card details are entered on, and handled by, Netcash under its own terms and privacy policy and in accordance with applicable payment-card security standards.
We receive confirmation of payment outcomes, not your full card number.
7. Storage, security and retention
We take reasonable technical and organisational measures to protect your information against loss and unauthorised access. Sensitive values on your device, such as credentials, are kept in the platform's secure storage, and biometric data is handled by your device's operating system and is not accessible to us.
We keep personal information only for as long as needed for the purposes set out above or as required by law.
8. Cross-border transfers
Where any information is processed outside South Africa (for example by a service provider), we take steps to ensure it receives a level of protection comparable to that required by POPIA.
9. Your rights
Subject to POPIA, you may request access to the personal information we hold about you, ask us to correct or delete it, object to certain processing, or withdraw consent (which may affect your ability to use the App or its features).
To exercise these rights, contact our Information Officer at support@elotech.co.za. You also have the right to lodge a complaint with the Information Regulator of South Africa.
10. Children
The App is intended for business use by adults. It is not directed at children under 18, and we do not knowingly collect their personal information.
11. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be reflected in the "Last updated" date at the top of this page.
